The first call guide
A good start.
A better conversation.
Set up your line once. Then keep your first few calls supervised while you learn how the navigator behaves.
Open connection setupBefore you start
- Use a desktop browser with a microphone and headphones. Allow microphone access when the call starts.
- Connect your own RingCentral account. Your extension needs a Digital Line and permission to make calls.
- Use the Call Navigator workspace to place calls. An existing RingCentral desktop call cannot be picked up by the navigator.
- Start in Practice to explore department and dial-by-name examples without calling anyone.
This private pilot is limited to approved workspace users in the configured RingCentral organization. Other companies cannot connect yet.
Your first live call
Choose a simple menu.
Use an automated number you are authorized to test. Begin with a single department, such as Shipping. Add Receiving only if reaching either department is acceptable.
Start the call.
Select Live call, enter the number with its country code, and click Call with RingCentral. Keep this page open and your headphones on.
Check what actually happened.
Confirm you can hear the menu, the activity feed shows the right words, and the chosen digit reaches the intended branch. An entry in the activity feed alone does not prove the phone system accepted a key.
Try taking over.
Press Take over during a menu. Confirm automatic keys stop, the call continues, and the manual keypad works. Speak when someone answers.
End and try a second call.
Confirm End call closes the call. Next, test a nested menu or a directory with a full first and last name. Note unexpected behavior without including private call details.
When to take over
A person answers, the menu is unclear, an incorrect option is selected, or the activity stops matching what you hear.
Voice-only menus, overlapping speech, hold music, unsupported languages, and ambiguous names can require manual handling.
If the network drops, the laptop sleeps, or the browser loses microphone access, inspect the call state before trying again. Keep the page open during calls.
Automatic navigation has a three-minute / eight-action limit. When it pauses, you stay in control of the call.
What’s been tested
RingCentral sign-in, saved connection, Deepgram temporary-token authentication, and synthetic streaming transcription.
Automated menu, control, cryptography, and mocked phone-lifecycle checks. A synthetic Shipping menu selected key 2.
Real call audio, accepted keypad presses, human handoff, headset behavior, reconnects, and a second call.
Before a wider customer launch, account isolation, server-enforced usage limits, operational monitoring, and access for other RingCentral organizations also need validation and rollout work.
